Privacy Policy

One policy covering the partner portal, the co-branded client app and the calculators. Most of our calculators run entirely on your own device and send us nothing. Where you do give us information, we use it to do the thing you asked for, we do not sell it, and you can ask us to delete it.

Which policy this is

We publish two, because we do two different things and they are governed differently.

This one covers the tools: the partner portal, the co-branded client app, the calculators, and the open-house sign-in forms. It is what applies to anything you do on a page like this one.

If you go on to apply for a mortgage with us, that is a regulated file and our firm's own policy at thefinancialcollective.ca/privacy-policy applies to it instead. FSRA requires us to keep those records for six years, which is longer than anything below, and that obligation always wins.

What we collect, and when

Nothing, most of the time. Our calculators run in your browser. What you type into them stays on your device unless you deliberately send it.

When you sign in at an open house. Your name, contact details and what you tell us about your situation. The box you tick explains exactly what you are agreeing to, and we keep a copy of that exact wording with your record so we can always show you what you agreed to.

When you fill in a pre-qualification or ask a question. What you enter, so that we can answer you.

If you are a partner. Your business contact details, photograph, brokerage and the materials you create.

Automatically. The basic technical information any website receives — pages visited and general usage — so we know what is being used.

Why we collect it

To answer you. To provide the service you asked for. To give your real estate agent the enquiry you made through their page. To improve the tools. And, where you have agreed to it, to send you mortgage information — which you can stop at any time.

We do not sell your information to anyone.

Who sees it

Us. Your real estate agent, if you came through their page or their event — that is the point of the form. And the companies whose software we use to run this: our website host, our database provider, our email provider and our customer records system. They process it for us and are not permitted to use it for anything else.

We will also disclose information where the law requires it.

Where it is kept

Canada — our database is hosted in Montréal, Québec. Some of our providers may process information outside Canada, which means it can be subject to the laws of that country.

How long we keep it

Open-house sign-ins: 2 years from the sign-in.

Enquiries and pre-qualifications: 3 years from your last contact with us.

Partner records: for as long as the partnership runs, then 7 years for tax records.

A mortgage application is not on this list. Once something becomes a regulated mortgage file, FSRA's six-year record-keeping rule applies to it and our firm's policy governs, not this one.

Your choices

You can ask what we hold about you, ask us to correct it, ask us to delete it, and stop emails at any time using the unsubscribe link or by replying to ask.

We will respond within 30 days.

If something goes wrong

If information is ever lost or accessed improperly and there is a real risk of harm to you, we will tell you and the Office of the Privacy Commissioner of Canada, as the law requires.
